Adding a New Customer

During day to day operations it will become necessary at some point to create new Customer records.  When your instance of Intact was implemented chances are that your Customer list was imported for you.  Now it’s time to create a Customer yourself!

New Customers are added via the Accounts Receivable module.  Simple navigate to Accounts Receivable > All > Setup > Customers > Customers or click the Customers button shown below:

Once you’re on the Customers list screen click the ‘Add’ button to create your new record.  At the top level the customer input screen is made up of 4 tabs, as shown across the top of the screen.  In order to navigate between tabs, simply click the appropriate name.

On the main tab you will notice the ID of your new customer record is ‘– New –‘.  This Customer ID is only temporary; the real Customer ID will be automatically created when the record is saved. As with other list screens the required fields on this screen are clearly marked with a red asterisk.  When adding a new Customer it is important to complete as many of the fields as possible.  The contents of the Name field are what will be displayed in multiple places throughout the software so please ensure the name is spelled correctly.  If this customer is a single use customer you can keep your customer list less cluttered by placing a checkmark in the ‘One-time use’ field.  This will make it so that you will only see this customer on a list screen after clicking ‘Include one-time’.

The ‘Print as’ field will default to the customer name but can be changed as required.  This field is useful in the event that the company is known by a name other than their primary operating name.

Although not generally used when entering a new Customer it is worth making note that it is possible to put a customer account on hold in order to prevent anyone from entering invoices for them.  This can be done on the Additional Information tab by placing a check mark in the ‘On hold’ checkbox.  Another useful field on the Additional Information tab is the Parent field.  In Intacct it is possible to nest Customers.  If this customer is a subsidiary of another customer that can be specified using the Parent dropdown field on this tab.

For multi-entity shared companies the customer can be entity specific or accessible to all entities.  When making a new customer at the Top Level it is possible to restrict this customer only to this level by selecting the corresponding radio button the the Restrictions tab.

When creating a new customer at the entity level this tab doesn’t exist because there is no need to set the restrictions.  The entity level restrictions will be in place by default based on the fact that the customer was created at the entity level.

Prior to saving your Customer, ensure that the information you have keyed in is correct.  Once you are satisfied with your data entry, click ‘Save’.  You will be taken back to the Customer List screen where your new customer will displayed.  Congratulations, you are ready to enter invoices for your new customer!
